Introduction
SortFi is a product operated by Humaine Technologies Inc. (styled "humAIne technologies Inc.") ("we," "us," or "our"). SortFi helps self-employed people turn uploaded bank and card statements into tax-ready expense records. This policy explains what we collect, how we use it, and the choices you have. SortFi is currently in beta, and this policy may be updated as the product evolves.
Information we collect
We collect the information you provide directly: account details such as your name and email address; the transaction data we extract from the bank and card statements you upload (CSV, Excel, or PDF); receipt images and documents you attach; and any expense categories, notes, or corrections you enter. For CSV and Excel statements, the file is processed in your browser and is never uploaded to our servers. For PDF or image statements, the file is uploaded only briefly so it can be read, and is automatically deleted immediately after the transactions are extracted. We do not connect to your bank and do not ask for bank login credentials — you upload statement files yourself. We also collect limited technical information automatically, such as device and browser type, IP address, and usage activity, to operate and secure the service.
How we use your information
We use your data to provide the core service: parsing statements, generating AI category suggestions, storing receipts, and producing accountant-ready exports. We also use it to secure your account, provide support, and improve SortFi's features and accuracy.
AI processing
We use Google's Gemini models, accessed through the Lovable AI Gateway, to read your uploaded statements and receipts and to categorize transactions. For extraction, the statement or receipt file is sent in full to this provider to pull out the transaction and receipt details. For categorization, we send only limited transaction fields — description, amount, direction, and date — not the original files. We do not sell this data, and it is processed only to provide the service.
How we store and protect your data
Uploaded statement files are not retained: CSV and Excel files never leave your browser, and PDF or image statements are deleted immediately after extraction. Receipts you attach are kept in encrypted, private storage scoped to your account, and are viewable only through short-lived signed links. We apply access controls and other safeguards, though no method of storage or transmission is completely secure.
Sharing your information
We do not sell your personal information. We share it only with service providers who help us operate SortFi (such as hosting and infrastructure), when required by law, or with your direction (for example, generating an export or receipt link you choose to send to your accountant). If you purchase a Pro subscription, our reseller Paddle.com acts as the Merchant of Record and processes your payment, billing, tax, and invoicing data; Paddle handles payment card details directly and we never see or store your card number.
Data retention
We keep your transaction data and receipts for as long as your account is active. Uploaded statement files are not retained. You can delete any individual transaction or receipt at any time, which permanently removes it — including the stored receipt file. You can also delete your account, which removes your stored data within 30 days, subject to legal retention requirements.
Your rights and choices
Depending on where you live, you may have rights to access, correct, export, or delete your personal data. You can exercise these by contacting us at hello@sortfi.app.
Your rights under PIPEDA (Canada)
Humaine Technologies Inc. is the organization accountable for the personal information handled through SortFi under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). We collect and use personal information only for the purposes identified in this policy: parsing statements, categorizing transactions, storing receipts, generating exports, and operating and securing the service. You have the right to access and correct your personal information and to withdraw your consent, subject to legal and contractual limits. You may direct questions, access requests, or complaints to humAIne technologies Inc. at hello@sortfi.app. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
Children's privacy
SortFi is not intended for anyone under 18 and we do not knowingly collect data from children.
Changes to this policy
We'll post any changes here and update the "Last updated" date; significant changes will be communicated to account holders.
