Introduction
SortFi is a product operated by Humaine Technologies Inc. (styled "humAIne technologies Inc.") ("we," "us," or "our"). SortFi helps self-employed people turn uploaded bank and card statements into tax-ready expense records. This policy explains what we collect, how we use it, and the choices you have. SortFi is currently in beta, and this policy may be updated as the product evolves.
Information we collect
We collect the information you provide directly: account details such as your name and email address; the statement files you upload (CSV, Excel, or PDF) and the transaction data within them; receipt images and documents you attach; and any expense categories, notes, or corrections you enter. We do not connect to your bank and do not ask for bank login credentials — you upload statement files yourself. We also collect limited technical information automatically, such as device and browser type, IP address, and usage activity, to operate and secure the service.
How we use your information
We use your data to provide the core service: parsing statements, generating AI category suggestions, storing receipts, and producing accountant-ready exports. We also use it to secure your account, provide support, and improve SortFi's features and accuracy.
AI processing
To categorize transactions, we share only the transaction description with our AI provider — not full statements or receipts. Contact us if you need details about the specific provider or model-training practices.
How we store and protect your data
Your data is stored in encrypted cloud storage, scoped so that only your account can access it. Receipts are held in private storage and shared only through short-lived, signed links you generate. We apply access controls and other safeguards, though no method of storage or transmission is completely secure.
Sharing your information
We do not sell your personal information. We share it only with service providers who help us operate SortFi (such as hosting and infrastructure), when required by law, or with your direction (for example, generating an export or receipt link you choose to send to your accountant).
Data retention
We keep your data for as long as your account is active. You can delete transactions, receipts, or your account, after which we remove the associated data within 30 days, subject to legal retention requirements.
Your rights and choices
Depending on where you live, you may have rights to access, correct, export, or delete your personal data. You can exercise these by contacting us at hello@sortfi.app.
Your rights under PIPEDA (Canada)
Humaine Technologies Inc. is the organization accountable for the personal information handled through SortFi under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). We collect and use personal information only for the purposes identified in this policy: parsing statements, categorizing transactions, storing receipts, generating exports, and operating and securing the service. You have the right to access and correct your personal information and to withdraw your consent, subject to legal and contractual limits. You may direct questions, access requests, or complaints to humAIne technologies Inc. at hello@sortfi.app. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
Children's privacy
SortFi is not intended for anyone under 18 and we do not knowingly collect data from children.
Changes to this policy
We'll post any changes here and update the "Last updated" date; significant changes will be communicated to account holders.
